1. Introduction

This Privacy Policy explains how Extech IT Services and Solutions ("we", "us", "our"), operator of Phantom Autobooker ("Phantom", the "service") at https://phantomautobooker.com, collects, uses, shares and protects your personal data when you use our Website, browser extension and related services. By using the service, you agree to the practices described here.

2. Personal data we collect

  • Account information: name, email address, password (stored only as a secure hash), and the plan you subscribe to.
  • Contact information: details you provide when you contact support or submit a request form.
  • Service / configuration data: your routes, rate thresholds, equipment and preferences, and the identifier of the Amazon Relay carrier account you connect.
  • Usage data: log data, device and browser information, IP address, pages viewed, feature usage and timestamps.
  • Payment-related information: your billing/subscription status and a payment-gateway reference (subscription/transaction IDs). We do not collect or store your full card number, CVV or PIN — see Section 5.

3. How we collect data

  • Directly from you — when you register, subscribe, configure the service, or contact us.
  • Automatically — through cookies, local storage and similar technologies, and through server/extension logs as you use the service.
  • From our payment processor — limited transaction metadata (e.g., payment success/failure, subscription status) from Razorpay.

4. How we use your data

  • To create and manage your account and provide the service;
  • To process subscriptions, billing and renewals, and to prevent fraud and abuse;
  • To operate, maintain, secure and improve the service;
  • To provide customer support and respond to your requests;
  • To send service-related and transactional communications (e.g., billing notices, security alerts);
  • To comply with legal obligations and enforce our terms.

5. Third parties we share data with

We do not sell your personal data. We share it only with service providers who help us operate, and only as needed:

  • Razorpay (payment processor): We use Razorpay, a PCI-DSS-compliant payment gateway, to process card payments. When you pay, your card details are entered on and handled directly by the payment gateway. We never receive or store your full card number, CVV or PIN — we only retain a tokenised reference and your subscription status. Razorpay processes your payment data under its own privacy policy.
  • Infrastructure & operational providers: hosting, database, email-delivery and analytics providers that process data on our behalf under appropriate confidentiality and data-protection obligations.
  • Legal / compliance: authorities or parties where required by law, regulation, legal process, or to protect our rights, users or the public.

6. Cookies & similar technologies

We use cookies and browser local storage for essential functions (such as keeping you signed in and remembering your light/dark theme preference) and for basic analytics to understand and improve usage. You can control or disable cookies through your browser settings; some features may not work correctly without them.

7. Data retention

We retain personal data for as long as your account is active and for as long as necessary to provide the service, comply with our legal obligations, resolve disputes and enforce our agreements. When data is no longer required, we delete or anonymise it.

8. Data security

We use reasonable technical and organisational measures to protect your data, including encryption in transit (HTTPS/TLS), hashed password storage, access controls and least-privilege practices. No method of transmission or storage is 100% secure, but we work to protect your information and to address vulnerabilities promptly.

9. Your rights

Subject to applicable law, you may have the right to access, correct, update, or delete your personal data, to object to or restrict certain processing, and to request a copy of your data. To exercise any of these rights, email us at admin@phantomautobooker.com. We will respond within the timeframe required by applicable law. You may also delete your account by contacting us.

10. Children's privacy

The service is intended for business users aged 18 and over. It is not directed to children, and we do not knowingly collect personal data from anyone under 18. If you believe a child has provided us data, contact us and we will delete it.

11. International data transfers

We are based in India and our service is offered to customers outside India. Your data may be processed and stored in India and in other countries where we or our service providers operate. By using the service, you consent to the transfer of your data to these locations, which may have different data-protection laws than your own; we take steps to ensure your data remains protected in line with this Policy.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, where appropriate, notify you. Continued use of the service after changes take effect constitutes acceptance of the updated Policy.
